How to Stop Playing Phone Tag and Close More Sales

Few things can be more frustrating for the sales professional than the proverbial game of phone tag with prospects. You know the drill…you call and leave a message, the prospect calls back and leaves a message, you call back, and on and on and on. This can be extremely frustrating, not to mention terribly inefficient. This situation is a symptom of a larger problem…the problem of not controlling the sales process.

From the moment of your initial contact, YOU should be controlling the sales process. You know the steps that must take place to complete the sale. You know how long each should take. You know the hurdles that must be overcome. In short, you know the sales process for your product or service and therefore you must control that process from the very first contact. This is a subject for another article, actually many more articles, but for today, let’s take phone tag out of your vocabulary.

Too often when we are making that initial contact, it is easy to allow a prospect to say something like, “This is a bad week for me, give me a call next week.” This seems to start a process that extends far beyond next week. It starts with your call the next week, your prospect is busy, or out and you leave a message to call you back. Now…IF the prospect calls you back, and if you have been in sales for any length of time, I don’t have to say any more than that, it is very possible that that return call will come while you are in another meeting or on the phone or in some way unavailable. Now, we start all over again. As soon as you get the message, you call back and your prospect is at lunch. Now the miracle that your prospect called you back the first time must be repeated again. Your odds for eventually closing this sale are falling dramatically with every missed opportunity.

Here’s how to avoid this extremely frustrating cycle. At the moment that your prospect gives you permission to contact them again, you want to set a time for that contact. “Give me a call next week.” “That sounds great Mr. Prospect. I have a bit of a full schedule next week and since I know your time is just as valuable as mine, let’s make sure we don’t waste it by playing phone tag. I have a couple of times available. How about either 10:00 on Tuesday or 1:30 on Wednesday?” You have just taken control of the situation. If your prospect does not want to set a time, you have just discovered that he is probably not very serious about moving forward. You can offer to let him set the time, “Since neither of those times work for you, Mr. Prospect, tell me what does work and I will see if I have that available.”

Now you will once again either get a commitment or you will find out that you are probably wasting your time chasing this guy. Either way, you have established control over the process and saved yourself the time of playing phone tag or chasing a prospect that you are never going to catch.

How to Help Someone on Crutches

Nothing feels as good as helping someone, as here’s a clearcut
way you can do it.

This is from my personal point of view, having just broken my
ankle, but what other point of view is there? People have
offered to do every one of these things for me, and I’m so
grateful and will be passing it on. I should preface this with
the fact that I’ve offered people help from time-to-time who’ve
declined, and that’s fine too. Better to over-offer than to
under-offer.

These things are particularly important in the beginning when
the pain is the worst, but then how are you going to going what
stage they’re in?

1.It’s a problem of getting from one place to the other.

Offer to do anything that will save the person steps. Moving on
crutches is more tiring than it looks. Not only is it involving
muscle groups in new ways, there is pain, and, as you know, pain
is exhausting. Offer to sign them in, get them a cup of coffee,
pick something up off the floor for them, get them seconds, give
them the closest seat, bring the phone to them.

2. Hands are on crutches. Hands are therefore not free to do
anything else.

The first thing you learn when you’re on crutches is that you’re
finally there and you can’t take it back with you! (Thus you
start wearing things with pockets.) You can help by opening
doors, offering to carry things, press elevator buttons, put
things in bags for them with handles they can drape over their
arm. Offer to carry it to the car for them. Open the car door
for them when you get there.

3. Balance is precarious.

Ask how you can help, don’t just rush in. Then listen. A strong
arm is very useful to lean on and far more reliable than a
crutch. Grip the person in the way you feel most secure and rely
on some guidance from them at the same time.

4. Offer to run errands for them. Any and everything.

If you’re going out, give them a call. A simple, “I’m going to
the grocery, need anything?” is all it takes. If they live
alone, imagine how helpful this is. If they live with another or
others, the workload has still been increased significantly on
all concerned and their lives have been disrupted.

If the person lives alone, and you’re a neighbor, think of
things like bringing the mail or newspaper to the front door,
walking their dog, or watering their lawn. 5. Share your own
stories.

Anyone who breaks something generally feels a little foolish for
having done so. Since breaking my ankle I’ve heard story after
story of “it was just a little stone” or “I just stepped off a
curb wrong” that made me feel more “normalized.”

6. Offer to help them up from their chair.

Strong arms pulling you up are much more reliable than using the
crutches. It also saves energy, and removes any chance you’ll
put pressure on the injured limb accidentally and cause pain.

7. Do not distract them during the hard job of moving from one
place to another. It is hard work and takes constant vigilance.

A person on crutches must be looking at the walking surface
constantly — the floor surface (marble, cobblestone), rugs that
might move or curl, any spills on the flooring, obstacles,
anything that might hit the damaged limb and cause blinding
pain, anything small and furry that might move and trip them …

8. Make it possible for them to elevate the foot or leg.

Move a chair or table around for them, get up and move yourself.
It throbs as soon as it turns downward.

9. Ask them about the temperature of the room.

We dread sweating, because … if you’ve ever had a cast, you
know why, which brings up point #10.

10. If it’s happened to you, say so, and then ask to help.

It’s particularly comforting for someone to say, “I know what
it’s like, so please let me …” And also share what you’ve
learned. The learning curve doesn’t exist. It was someone who’d
been on crutches herself who pointed out to me that mine were
set 4″ too low.
